Privacy Policy

Frontelo ("Frontelo," "we," "us") provides an AI-powered virtual receptionist service for small and mid-size businesses. This policy explains what information we collect, how we use it, and the choices available to you.
There are two kinds of people this policy covers: business owners who sign up for Frontelo and connect their tools (calendar, phone number), and callers who reach a business using Frontelo.
1. Information We Collect
From business owners (account holders):
- Name, email, and login credentials
- Business name, industry/vertical, working hours, and appointment duration
- Phone numbers you designate to bypass the AI and ring you directly (whitelist)
- Google account authorization to read and write your calendar (see Section 3, "Google User Data")
- Review platform links you provide (Google, Yelp)
From callers (people who call a business using Frontelo):
- Phone number and, if given during the call, name and email
- Audio recording of the call and a text transcript
- An AI-generated summary of the call and a lead-quality label (Hot/Warm/Cold)
- Appointment details, if you book one (date, time, service requested)
Every call is disclosed as being recorded, by the AI, before it says anything else — this is not optional and happens on every call, every time.
2. How We Use Information
- To operate the AI receptionist: answering calls, qualifying callers, checking calendar availability, and booking appointments
- To notify the business owner and the caller by SMS after a call (e.g. appointment confirmations, lead summaries)
- To route personal or non-business calls directly to the business owner instead of the AI
- To maintain the record of past interactions a business owner sees in their dashboard
- To troubleshoot, secure, and improve the service
We do not sell personal information, and we do not use call or calendar data for advertising.
3. Google User Data
Frontelo requests read/write access to a business owner's Google Calendar (the calendar.events scope) for one purpose only: to check real-time appointment availability and to create, update, or cancel the specific calendar events that correspond to appointments booked through Frontelo.
- We read calendar events only to determine which time windows are free or busy. We do not read, store, or process the content, guests, or description of your other calendar events beyond what's needed to know a time slot is unavailable.
- We create a calendar event only when a caller books an appointment, and we store only the resulting Google Calendar event ID — needed to update or cancel that specific appointment later — not a copy of your calendar.
- Access can be revoked at any time, either by disconnecting Google Calendar from your Frontelo account settings or by removing Frontelo's access directly from your Google Account permissions. Revoking access stops future calendar reads/writes; it does not retroactively delete appointments already created.
4. Who We Share Information With
We share information only with the service providers ("subprocessors") Frontelo depends on to function, and only the data each one needs to do its job:

We do not share data with any party for their own independent marketing use.
5. Data Retention and Deletion
We retain account and interaction data for as long as a business's account is active, and as needed to provide the service (e.g. a call history and its AI summary remain in the dashboard). A business owner or a caller can request deletion of their data by contacting us at hellofrontelo@gmail.com.
6. Security
Data is encrypted in transit. Every business's data (contacts, call records, appointments) is isolated from every other business at the database level — one business can never read another's data, enforced by database-level access rules, not just application code.
7. Children's Privacy
Frontelo is a business tool and is not directed at children. We do not knowingly collect information from children under 13.
8. Changes to This Policy
If this policy changes materially, we will update the "Last updated" date above and, where appropriate, notify business owners directly.
